When I Work Makes My Scheduling Easy!

Commenti: I was first introduced to When I Work when I started working here as a call-center agent five years ago. I've since moved up, and have been using it to schedule my team members for about four years. I find it incredibly easy to use, and I love the tiny details like colors and notations that can be customized down to the employee level.

I love the color variations, the employee preferred availability, and the ability to go back or forth in time to view schedules.

Aspetti negativi:

I honestly can't think of any. I love this product.

Very easy to use, with all the features we need

Commenti: We upgraded from using a Google Slide template (yes, really) so WhenIWork was a huge improvement for us. We like that employees can easily see their schedule in their own timezone, and request to swap shifts with each other.

Aspetti positivi:

Clear and easy to use, much better interface than its competitors, easy to review timesheets and organize schedules. The colour-coding lets everyone see their own shifts at a glance, and managers can easily spot any gaps in the coverage.

Aspetti negativi:

When scheduling, repeating shifts can be a little clunky and isn't the best UI. But it's overall fine to set up a schedule with recurring shifts.

It's just fine

Commenti: It has been fine but not great. For an organization trying to implement this software to staff that are used to doing schedules in other ways it has been difficult for people to learn and difficult for people to assimilate into their daily routine because of how complicated it is.

Aspetti positivi:

It allows you to set up a schedule and color code it however you need it to best view it. It has a message feature in the time off request so that there can be a history of a conversation about the request.

Aspetti negativi:

Manager time off requests are automatically approved instead of needing to be approved by another manager or at least approved after created. This means that someone who needs the Manager status to create the schedule but is not the overall supervisor in charge of scheduling can't use the time-off request function. Time off requests can't be changed, only deleted and re-added. Why? Everything is generally more complicated than other similar scheduling software. I cannot copy and paste a range of shifts only individual shifts. Each time there is an update to the schedule made by another person you have to reload the website, which generally loses what you were doing, but this also leads to issues where employees who have the website up and are working on their schedules will not know that there are changes being made to the schedules. So two people could be changing things at the same time.

Commenti: It's been a huge change in scheduling each week. I used to dread it but no it's so much more manageable. The more I use it the more I learn how to be more efficient with the process. Our team loves it as well. Overall, just a great experience.

Aspetti positivi:

I love the ability to make changes right from the app on my phone. Also, to have the functionality to make adjustments as needed. The scheduler views and auto-assign feature has been a huge help to our organization. Also, the ability to put a begin and end date on availability requests. We tried 2 other scheduling systems and this one by far has been the most effective and easy to use for administrators and employees.

Aspetti negativi:

The cost is a little high and by paying on a yearly basis the discount isn't enough to really make a difference for paying in advance.

Commenti: WIW is great! I would and have recommended over and over. I've used multiple scheduling software. WIW is hands down the best!

Aspetti positivi:

I like the web based system. I love the instant changes are communicated. I love the color coding of roles and the budgeting features on the schedule.

Aspetti negativi:

Reports are confusing. There should be more premade reports to choose from. I HATE that we can't report an absence without removing the employee from the schedule. When reported absent - the employees shift should be removed from the schedule as well as the labor hours.

Commenti: Overall When I Work is a great time tracking solution. It works well, and the report outputs are easy to work with when running payroll. The only thing that could improve is that the sync feature would work with Quickbooks simple start and essentials. Currently the sync function only works with quickbooks plus and above, and not all my clients have a plus level subscription, adding manual entry for payroll.

The ability for employees to clock in from their smart phone and the system logging their location is very useful. The chat feature also helps employers to communicate the days tasks quickly.l

Aspetti negativi:

The pricing structure seems to always be changing and every time I recommend it to a new or existing client, the current pricing is different than what my other clients are on. I need to be constantly checking the newest pricing before I recommended and begin setup for new accounts.

I liked when I worked for a business that you said for timekeeping that it was easy to trade usually.

I personally think there were a lot of bugs with the app and the website which cause more than a few misunderstandings and payroll and it work situations.

Clear work schedule, easily accessible by phone!

Commenti: I was helping an acquaintance start a small company in a nearby city. Work shifts were all over the place and last minute needs popped up constantly. When I Work made keeping tabs on all that was going on, so much simpler! I could easily schedule employees and know I could count on this app to communicate it to them.

Aspetti positivi:

Being able to access my schedule from my phone was super important. I remember working where schedules were posted on paper in the staff room. People would have to go in and either write down their shifts or put them into their phone manually. Thankfully, apps like When I Work have become much more popular and schedules can be sent to employees digitally. I appreciated how simple viewing and accessing schedules has been through When I Work. (It makes planning the rest of my life much easier!)

Aspetti negativi:

The interface of the app is not very visually appealing. It's simple, which is what some may need. But I really appreciate a visually appealing, well configured app.

Intuitive Scheduling Software with Mobile App Flaw

Commenti: Overall, the experience of investigating the software capabilities with the sales representative to fully operationalizing with our team went smoothly.

Initial set up of user profiles and templates for shifts is intuitive and quickly completed. The strategy behind setting up multiple schedules and how to incorporate tags vs user roles needed extra training by our sales representative. Once we understood the output of these variables, the set up continued to be admin friendly.

Aspetti negativi:

There is continued frustration with basic users receiving notifications to their mobile devices. Despite multiple attempts with the online customer service to resolve, some users still do not receive the notifications. This was a high-value variable anticipated by our team that continues to give frustration to some users.

When I Work can be very expensive especially since it charges per employee. For bigger organizations, it may not be worth carrying the variable fee structure to maintain annual budgeted expenses.

When I Work Tells Me When I Work

Commenti: Our employees enjoy being able to see the schedule for the entire organization, as well as breaking down the view into their specific location when needed. They are also notified in real time of any changes that are made, and have the ability to trade shifts with other employees through the app.

When I Work allows us to schedule for all of our locations in one place. We love that we can color code each location and positio, making it easy to break the schedule down into various views.

We once attempted to integrate When I Work's time tracking feature, but there were several issues that could not be corrected for our needs.

I consolidated clocking in, scheduling and team communication in one platform instead of three!

Aspetti negativi:

That I can't start unique conversation threads for every topic that we need to communicate. We have our staff comment so we know they've read it and we have to keep adding it onto an existing thread....makes it confusing

I loved the ease of scheduling and notifying staff

Aspetti negativi:

When staff couldn't remember their password it wouldn't let them reset on the app, they had to use a computer

Commenti: Love how easy and straightforward it is! Enhances your experience and saves you fro having to text or schedule. Rather, you just pop on to the app and can see what’s available.

Aspetti positivi:

Super easy to navigate for both employee and employer. Accessible app right from your phone and is very straightforward.

Aspetti negativi:

From an employee perspective, my only thought is that it would be nice to have a better view to see all the shifts you signed up for. With what I’m familiar with, it’s a more individual view.
