Better Than Others With Room for Improvement

Commenti: eFileCabinet support has been quick and resolved any questions/concerns that I have. The price is higher than others but you get more features than lower-priced programs.

The ability to customize sharing so much; granting access without individual having to have separate account for program; preview pane; branding ability; multiple viewing panes at once; audit trail easily accessible; folder templates; e-signature in program

Aspetti negativi:

Invitation email 24 hour timeout; inability to select multiple files that aren't listed consecutively; drop down for filing is visually a little difficult to differentiate between; works better in certain internet browsers; Gmail will not allow as third-party app because level of security not high enough (for pulling in emails)

Worth it!

Commenti: We have had an excellent experience with eFileCabinet. The customer service team is very responsive, our sales person is well informed on the product and can easily direct you to the team member who will be able to assist you with a problem. The trainers are patient and are willing to advise on the set up of your files. Our trainer, Kevin, knows EVERYTHING about the product, and is willing to do multiple sessions for us to make sure that we understand how to use the product.

Aspetti positivi:

eFile Cabinet and the associated Rubex software make moving from paper files to digital files easy. The various add-ins provide access to the system from your email, PDF, MSExcel, and MSWord. Once uploaded, the files (and their contents) are easy to search. An additional feature that is particularly useful for our team is the ability to allow a "guest user" to access files for a limited time. This is a lifesaver for managing audits and allowing employees to access and view documents in their file. The best feature in this software is the "help" automations that literally walk you through the different activities you may want to accomplish in the software.

Aspetti negativi:

This software can be used be a team that does not have a "plan" for moving to a digital platform, but that is very unwise. It is easy to begin using it right away; the biggest challenge comes in the set up and administration. There is a definite learning curve, and the training that is offered should be readily accepted -- it will be needed, and it is very helpful!

Alfresco Enterprise Alternative

Commenti: We needed a modern, robust, cloud-based document management system for long term digital archiving. Overall eFileCabinet has served our needs very well.

Aspetti positivi:

The conversion team saved us from an aging system that we needed to abandon. The Cloud Server being the same cost as an on premises server was a great incentive for choosing eFileCabinet. The Cabinet -> Folder structure is easy to understand and navigate. The ability to share large files with users outside of our organization easily has also been a boon.

Aspetti negativi:

Search is powerful, but due to the Alfresco Enterprise system we imported from relying on metadata tags for search, very particular steps are needed to use the search in eFileCabinet's Rubex properly. It's confusing for our core users sometimes. I'm not sure if I would feel differently about Rubex's search functions had we started our digital archive in Rubex, but as it is this is a function that is mildly frustrating.

Ok software with so-so customer support.

Commenti: I like the software, it has a ton of potential, just still a lot of bugs and glitches that are frustrating and counter productive, especially on Mac.

It is a great software for document management, version control and document sharing. It has been very useful for our 5 employee team.

Customer service is so-so and since the software doesn't work very well on Mac, we've encountered many issues over the year we've used it. It is unfortunate because it works very well on PC and if they could make it as good on Mac it would be amazing. My biggest issue is that it is sold as Mac compatible, but every time we run into an issue on Mac, the help desk always struggles to help us. For example, we haven't been able to use the software properly for over a month now and the problems still haven't been fixed, which is very frustrating.

eFile Cabinet and SecureDrawer

Files on Secure Drawer are not very Secure

File protection and restore functions are lacking. They are not as robust as a basic PC would be. Tech support is not helpful and they do not have the capability to assist the user. I selected a single file, and an entire directory was deleted. No warning, no way to recover! I could see in the actions that I deleted 99 files, but I could not undelete or change the action. I lost a lot of time and money because of Secure Drawers poor software design.

Zonal OCR - eFile Cabinet's best feature that we can't use

Commenti: Great support from the SALES people in terms of getting you set up with basic access to your account. Nothing special after that. The software is WAY overpriced if all you need to do is provide online access to documents. The only reason we would consider renewing is if we were provided the cooperation and adequate assistance from tech support to properly train users on Zonal OCR, rather than being made to feel like you're the last person they feel like talking to. Or, FIX the software so that you don't have to spend so much time teaching non programmers how to use it.

The software has a lot of great features, such as easily being able to manage user access to documents, ease of creating files, uploading, downloading, etc. I really like the Rubex icon which can easily be added to the "ribbon" dashboard in MS Outlook, Word, Excel, etc.

There are several different choices available to businesses today that offer the same basic features and functions offered by eFile Cabinet for a fraction of the cost. The cabinet structure is extremely limited, and the icons for cabinets and drawers (ugly gray block looking thing) look way too much alike, causing confusion for new users. E-File Cabinet's Zonal OCR is what could potentially separate them from their competitors, and is in my opinion, the BEST and most AMAZING tech tool available for those who need to file mass amounts of documents (Invoices from hundreds of vendors in our situation). I used the word potentially because, unless you are a programmer, trying to set up templates for Zonal OCR is beyond challenging. And though the sales staff will taught that their tech staff is supportive, my experience has been that they are less than thrilled at having to spend time on the phone tutoring non techies on how to set up templates. In a nutshell, don't offer or advertise a feature of your software that can't be used by non programmers. This could EASILY be fixed by adding simple user friendly radio buttons (steps) that non programmers could follow through and understand.

Good for the price but, be wary of version updates.

The ability to create a template and mass apply said template to multiple clients eliminated much of the tedium of having to do so one-by-one. I also liked the ease in which we were able to sync to the Secure File exchange portal online from within the desktop application as well.

Despite numerous updates, we were never able to drag/drop documents from the software to our desktop or to emails. The searching of text in the software, while it worked initially, stopped working for us after new versions were released and installed. We stopped being able to search anything (such an important feature) not long after purchase in the search bar. The workflow feature would also have been nice to use but, proved to be very basic. Next, even though I set up naming conventions, when these were available to use depended on how you saved the document instead of being available all the time.

Decent software and features but support is lacking

Commenti: The software makes it easy to share client files between departments and simple to send files to the client when requested. Overall it is a good product.

We also use the SecureDrawer product to integrate sending and receiving files with our clients. I prefer e-file cabinet as it works better and seems like a better user experience. Overall I like the simple way to add files, categorize and use templates and search functionality. All work very naturally and are easy to remember when I need to perform an action.

Aspetti negativi:

We run it on a local server and it often forgets or gets confused when doing the indexing. I add new clients so sometimes we cannot find the new folders and have to search for them manually. This is only an issue periodically but in my 4 years working with the software seems to happen more than any other product I have used in the past.

**Supreme** (online) Document Management Storage Software!

Commenti: In the business world today, there are mountains and mountains of paperwork. Being able to limit and severly reduce our paper file storage has amounted to savings of thousands of hours and dollars. The ability for our PM's to be able to search for a document their smart phone or tablet while on the job and find the document/invoice/proposal/bid/change order, etc. is invaluable and hard to put a dollar amount on! There are many DMS software programs out there, but eFileCabinet is perfect for our enterprise!

Our (big) small construction business has been using eFileCabinet for almost 5 years now. We have 8 users who interact with the software on a daily basis. The flexibility of searches, profiles (tags), ease of organization, templates and such make this such a great program for our office. The ability to see documents on our smart devices or using a web browser (online version) is crucial to our project mgrs and even office staff when we are working remotely. I am a huge fan of this software and every update that comes out just improves the program even more. We are very happy with the tech support (hardly need it) on the rare occasion we encounter an issue. **Highly recommended**

I pondered this question for a good length of time. I honestly cannot complain about anything at this juncture. I am the "admin" for our account and so I do all the setup, permissions, user groups, profile setups, etc. I am the most knowledgable of the software at our office and can say with certainty that we are extremely happy with our use of eFileCabinet.

It is Ok but can be much better...

Commenti: Since we have transferred so many of our client files it's hard to leave because we would have to start over. I would have left long time ago. So the program is just ok. I can't say it's awesome because it's not. Plus they don't give you much training or help.

I like the cabinet visual where you can create cabinets for each client and save documents.

The desktop version requires you to always put a password. The visual and interface is not that good because each time you want to review a file, the side bars to view the document is small, you always have to drag the side bars to get the document you are viewing to increase, and many times the quick view of a document doesn't work so you have to open the entire document, which requires you to wait 5 seconds or more to get the pdf file to open up on your computer. The program is really slow when you click around.

What I Like and Don't Like About eFile Cabinet

Commenti: EFile Cabinet saves us from having to keep hard copies of our clients files and this, in turn, saves us from having to buy filing cabinets and finding room for them. Files are easy to access.

It is super easy to scan and file documents with eFile Cabinet. Filing directly from the computer to eFile is a great way to save on paper. Restoring deleted files is a very simple process.

Aspetti negativi:

There are glitches with the Indexing Service not running. It used to be that a message would appear on screen letting me know that the service has stopped which would then necessitate a call to eFile Cabinet. I finally had them walk me through what needed to be done to correct the problem and I now correct it myself. The eFile tech people are all wonderful to work with - they are patient and always fix the problem.

Began with eFileCabinet when I began Financial Planning

Commenti: It was acceptable to FINRA & SEC, where as the Thompson Reuters File Cabinet Solutions was not and I had used FCS for many years before going to eFileCabinet. I went on-line as soon as I could and have enjoyed the use ever since and upgraded to Rubex and that is working fine as well.

There were some functions of the Desktop version that I wished worked on the On-line version. I use to be able to drag a PDF file over to the Rubex but now I have to drag it over to the desktop first then drag it into Rubex. Please bring that back.

Great storage option!

Commenti: I do love the integration between other software and eFileCabinet so that you can easily bring in the documents. Over the years that I have had eFileCabinet, I have really liked it, however, the pricing is getting a lot more expensive. Also some of the features, I have had a bit of trouble figuring out how to use. Some are features that I only use once in awhile as so I forget hour to use them - like purge, unpurged, and templates. But overall the software is great, just getting a bit pricey.

Trying to use some of the features - Templates is a big one, I set up a couple of templates awhile ago, but I remember it was not the easiest thing. I now need to edit those templates and don't have the time to dig in to see how to do that. Also, I do not understand how to CHECK OUT something, edit it and put it back. I am always having to save it on my desktop and re-import. Also, it would be nice if you could put notes right on the document or at least make the notes more visible. Right now with the notes being on a separate tab they do not stand out that there are even notes there so that is a bit frustrating. Also, I have an old client that has now come back and started working with me. I set their file to purge and cannot seem to get the purge off of the file, so I am going to have to manually pull all the documents out and create another file. Also, it is getting quite expensive for a small business like mine. I am going to have to, unfortunately, look into other alternatives.

Great Platform for Date Keeping

We love the ease of the software. The employees and I are able to maneuver easily through the program and locate everything we need to find. We like that it alerts us to check the files back in if we happen to leave them open while working on another project. Additionally, we enjoy the scanning features to be able to speed up the process of data entry.

Aspetti negativi:

It took awhile for us to get our efile scanner setup. We were not able to set it up ourselves, we had to contact the support desk, however, in the end we got it set up, and have no issues.

Efile, can't live without it.

Commenti: Time saver, no more running around to locate files. Can send documents password secured by email. You can design how you want to setup and use efile with customization of templates, user and file retention. Customer service is great, love that on our desktop version help link takes me directly to the website. I can then lookup my question with answer to resolve or chat with a rep. in a timely manner.

Ease of use and security features to allow secured access to offsite users. Customer can send Financial information, Examiners can review documents cutting down on onsite visits. Option to scan in Black/White, Gray-scale or Color help with photos in our Appraisal. No need to retain hard copy file. We can print our Credit Reports and Business Searches directly to efile. Saving in both process and cost by skipping the need to print then scanning. PDF received we can move and drop directly to efile.

Thoughts after using EFC

Commenti: We switched from SmartVault to EFC. First off, their tech support people are really helpful and so far we have been extremely satisfied with them. Upon getting our EFC database set up on our server we were hit with a slew of problems. First was an issue with the way the SmartVault data was transferred. When going through the purchasing process of EFC the sales person made it sound like EFC tech people were very familiar with doing a SmartVault conversion, but after doing the process it was very obvious that they did not know what to do in terms on (1) how to get the data from SV and (2) how to re-arrange the data so that it imports correctly into EFC.
So, after we got EFC going we had them do some re-arranging of our data on our server so it worked properly which took a while to find the solution on how to fix it. Then a week after that we ran into more issues about something corrupted on our server-side database. That took another week form them to figure out a solution and finally get it fixed. Now, we are still having issues with another problem about SecureDrawer that they are working on, but as of waiting 3-4 days after opening a ticket they don't have a timeframe on fixing.

I like that the software is available to be hosted on our dedicated in-house server because we don't trust our client's data in the cloud.

Aspetti negativi:

I don't like how you cannot edit pdf's within the program. For example, you cannot permanently rotate or delete a page within a pdf document without having to pay for a 3rd party pdf editing program. Our employees don't particularly enjoy the user interface that shows the folder and document structure. It was a big change from Smartvault where the client list is on the left-hand side of the screen and then the rest of the screen contained the drawer folder structure and the documents within those folders. In EFC you are forced to select a folder to view the documents within that folder, but you are unable to view documents in two separate folders at the same time.
